How to Organize Secret Santa: A Step-by-Step Guide
Running a Secret Santa is mostly about making a few decisions early and communicating them clearly. Follow these steps and the exchange will run itself.
1. Decide who is taking part
Start with a list of everyone who wants to join. Ask rather than assume — some people prefer to sit out, and an exchange works best when everyone is happy to be there. Three people is the practical minimum; larger groups make the mystery more fun.
2. Agree on a budget
A clear spending limit is the single most important rule. It keeps things fair and stops anyone feeling awkward about what they can afford. Pick an amount that suits the least comfortable person in the group, and say whether it is a maximum or a target.
3. Pick an exchange date and format
Choose when and where gifts will be opened: a dinner, an office party, or a video call for remote groups. Give people at least two to three weeks between the draw and the exchange so there is time to shop and ship.
4. Set any exclusions
Think about pairs that should not draw each other: partners, people who live together, or anyone who drew the same person last year. Our Secret Santa generator lets you add these rules before the draw.
5. Run the draw
Enter the names, add the budget, date and notes, and press draw. Each person gets a private link that shows only their own match, so you can take part too without seeing the results.
6. Share the links
Send each link privately — a direct message is better than a group chat, so nobody opens the wrong one. Remind people to keep their match to themselves.
7. Encourage wish lists
A few gift hints make shopping far easier. Ask everyone to share likes, sizes or a short wish list in the group, or put a note in the event details telling people where to post them.
8. Send a reminder
About a week before the exchange, send a friendly nudge with the date, the budget and any delivery instructions. For remote groups, confirm shipping addresses early.
9. Enjoy the reveal
Decide whether givers reveal themselves when gifts are opened or stay anonymous. Either way, the organizer’s job is done — enjoy it.
